Astrea Sales Teams are seeking
an Administrative Assistant to assist sales operations in perpetual and ad hoc administrative tasks. The right candidate may have a working history performing office-related duties in a fast-paced environment, will be able to provide outstanding customer service both external and internal, may have an interest in a career in sales, and will be able to work very well in partnership with our Astrea Sales Team Leadership. Responsibilities

  • Receive and enter incoming work from various sources (email, QuickBase, PDFs, customer databases, etc.) into online database software accurately and within established timeframes.
  • Track and return electronic paperwork to various customers from various sources accurately and within established timeframes. Escalation when needed.
  • Communicate and coordinate scheduling with customers and internal dispatch team.
  • Work as a team player to accomplish the tasks assigned, this includes working well with others. Interaction including but not limited to peers, managers, advocates, dispatch, customers, etc. will take place daily.
  • Ad hoc tasks, including Excel work, scanning, filing, and other miscellaneous office duties as directed.
  • Create and promote the company image through exercising sound and ethical business practices as related to employees, the public and customers. This includes ensuring that service and quality provided to customers is satisfactory.
  • Maintain confidentiality on all data and information relative to company, customers, and sensitive internal reports.
  • Must support the goals and initiatives of both the department and company.
  • Other duties as assigned by Supervision or Management.


Qualifications we are looking for

  • Personable and motivated candidates with a 2- or 4-year degree in Business, and/or equivalent work experience preferred. High school diploma or equivalent required.
  • A minimum of 1-3+ years of experience in a business office setting, with emphasis on customer service strongly preferred.
  • Advanced working knowledge of Microsoft Office products, including Excel, Outlook, Word, and Teams. Experience with databases, such as MS Access or Quickbase a plus.
  • Professional communication skills, written, verbal, and interpersonal, to prepare reports and plans, and to work well with our employees, vendors, and clients.
  • Ability to maintain a high attention to detail while managing multiple priorities at once with respective follow-through.
  • Ability to handle sudden priority shifts and be able to switch tasks easily without gaps in productivity and with an understanding attitude.
  • Ability to take direction and work independently.
  • Must be adaptable, and willing and able to learn new tasks and take on increased responsibilities.
  • Highly responsible, resourceful, dependable, and self-motivated.
  • Must be able to sit for extended periods of time.
  • Must be able to use a keyboard and mouse for extended periods of time.


Shift
is full-time, Monday-Friday between the hours of 8:00am-5:00pm CST. Must be flexible and willing and able to work outside normal business hours as necessary.
