About the Department

The University of Chicago Medical Scientist Training Program (MSTP) is a dual degree MD/PhD program committed to training the next generation of scholars and leaders in the biomedical sciences. The MSTP is committed to service to the wider Hyde Park community through its investment in service and outreach opportunities for its students and other stakeholders. Chicago's distinctive interdisciplinary approach encourages students to explore their medical and research interests in the broadest possible terms across several disciplines in the biological sciences, physical sciences, and more. This is a longstanding and distinguished training program, and the success of the MSTP is fundamental to the academic mission of the Biological Sciences Division (BSD) and the university. The MSTP is also one of the largest training programs in the BSD with an enrollment of ~80 students and over 100 faculty trainers. The MSTP maintains a strong commitment to diversity, equity, and inclusion and to wellness/wellbeing.

Job Summary

The job provides business support within established procedures regarding office and location support activities. Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies for which the support is being provided by working autonomously within established procedures and practices. Ensures the correct functioning of facilities, office and/or business support services.
Responsibilities
  • Supports the program's finance and accounting responsibilities in accordance with university financial systems, policies, and guidelines.
  • Supports coordination of student, faculty, and staff schedules for a variety of purposes (e.g., meetings, social events, year-round admissions events, other).
  • Assists with the advertisement and organizing of program events for admissions/recruitment activities and other internal/external events sponsored by the MSTP.
  • Supports process-improvement projects to enhance the efficiency of internal business processes.
  • Supports the maintenance of digital and print resources for students, faculty, and alumni.
  • Assists with tracking students' curricular milestones/progress.
  • Coordinates special projects as directed by the leader. Prepares write ups for recommendations for operational and administrative problems. Prepares financial and/or administrative reports.
  • Prepares special reports and summaries, assists in managing daily operation of the office, and may assist in developing administrative goals and policies.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include vocational training, apprenticeships or the equivalent experience in related field (not typically required to have a four-year degree).

Work Experience:
Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

  • Bachelor's degree.
Experience:
  • Experience working on in a college/university and/or professional office setting.
  • Experience working with students and/or faculty.
  • Strong communications and/or customer service experience.
  • Experience with scheduling and/or event planning.
  • Experience managing finance and/or accounting tasks.
  • Interest in managing a website and/or creating digital content for a website and/or social media channels.
Technical Skills or Knowledge:
  • Knowledge of Microsoft Office and ability to learn University-specific systems.
