Position in this function is responsible for the sorting, preparation, pick-up and delivery of all incoming and outgoing U.S. and inter-departmental mail, medical supplies, charts and x-rays. Inspects and verifies orders delivered to various sites and departments. Stocks supplies for various sites and departments, and supports the printing and preparing current forms for internal distribution and for maintaining a file of current and historical forms used by the organization.

Primary Responsibilities:

  • Expedites printing and preparation of all forms requested through the departmental order guides which include the following functions: copying, drilling, gluing, padding, folding, stapling, shrinking, wrapping and boxing
  • Maintains the quality control of all forms being produced
  • Maintains printing equipment by regular cleaning and use of vendor service technicians
  • Maintains all printing supplies including toner, paper stock, staples, binder tape, glue, etc.
  • Enters orders being shipped into computer database, print packing slips and/or invoices
  • Answers all questions and concerns from other departments while maintaining good rapport
  • Provides information as requested by departments regarding form orders or errors in distribution
  • Attends Forms Committee upon request
  • Ensures correct postage is applied and mail is bagged correctly for pre-sort or post office
  • Maintains a logbook of monthly postal usage by department and forwards the information to Accounting department
  • Operates and maintains all mailroom equipment
  • Transports various parcels including deposit bags to appropriate facilities and reroutes misaddressed parcels back to sender
  • Coordinates smooth transition of materials and various parcels with other regional couriers while adhering to regional delivery time route schedule and ensuring safeguard of high-profile parcels
  • Verifies UPS and FedEx deliveries, performs box counts and delivers as appropriate
  • Maintains a log for delivery of parcels requiring receipt signature
  • Verifies accuracy and condition of shipments by reconciling purchase orders / packing slips and inspecting for damages
  • Provides temporary vacation relief as necessary
  • Shelves delivered materials in specified storage areas
  • Maintains adequate supplies for employee lounge areas
  • Adheres to Universal Precautions at all times
  • Adheres to safety policies and procedures at all times
  • Uses, protects, and discloses HCP patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards

Required Qualifications:

  • High school diploma, GED, OR equivalent
  • 1+ years of experience in a mailroom setting

Preferred Qualifications:

  • 3+ years of office experience in healthcare industry
  • 1+ years of printing or photocopying experience
  • Intermediate level of experience with Microsoft Suite
