Portfolio Service Manager Job Description
The Portfolio Service Manager is responsible for overseeing and ensuring the overall upkeep and maintenance of the Apartment Communities he/she manages. The primary goals of the Portfolio Service Manager are to:
- Maximize efficiency of the Maintenance Staff on each site
- Minimize the expenses whenever possible
- Protect the Owners’ property
They must be a "hands-on" maintenance person. The Portfolio Service Manager must be able to do just about anything that pertains to building maintenance, e.g., plumbing, electrical, painting, heat, air conditioning and appliance repair.
It is the responsibility of the Portfolio Service Manager to coordinate and monitor all aspects of the maintenance programs. In this regard, the Portfolio Service Manager must work closely with the on-site maintenance staff in order to ascertain full knowledge and control over the entire maintenance program.
The Portfolio Service Manager shall have good communication with the on-site Service Managers and Community Managers, which is crucial for the proper and efficient operation of each Apartment Community. The Portfolio Service Manager responsibility and authority include but are not limited to the following:
- ATTITUDE:
- Maintain a professional, courteous, knowledgeable and helpful attitude with the Residents (our customers) and fellow employees. Promote this attitude in all of your personnel
- Do not socialize with Residents but maintain a professional manner
- Be honest and truthful in all communications with the Service Manager and Community Manager; Dishonesty will not be tolerated.
- RESIDENT CARE:
- Assist Residents with problems and requests to the best of your ability
- Maintain curb appeal of the exterior of your property and buildings
- PERSONNEL:
- Continually supervise maintenance and grounds personnel. Take action to improve the general appearance of the property, always be alert for any deferred maintenance problems. Establish daily employee goals. Show each employee exactly what you want him or her to do so they know what is expected.
- Require all full time employees to adhere to the office hours posted
- Monitor employee compliance with the dress code
- Encourage employees to submit suggestions for improving work conditions or job efficiency
- Present to the Manager ideas on improvement projects and labor needs
- Comply with the dress code and/or wear uniforms code
SCHEDULING WORK:
- Daily/Weekly:
- a) Community with the Service Managers and Community Manager to determine emergencies and projects that need priority and how to ensure these items are completed.
Discuss work procedures, priorities, goals and special jobs to be completed.
- b) Review all Maintenance Requests and closely monitor progress and completion of requests.
- d) Ensure each site has clean and organized amenities such as laundry rooms, pool areas, and tennis courts, etc.
- c) Make recommendations to Service Manager and Community Manager to improve the condition of the property.
INSPECTIONS:
- Review maintenance work of employees weekly/monthly/quarterly for quality
PHYSICAL REQUIREMENTS:
- Working off ladders up to 20 feet off the ground. Working off stepladders up to 10 feet inside apartments
- Work under sinks and around appliances by bending down or lying on your back
- Moving appliances including refrigerators, dishwashers, washers, dryers and ranges
- Bending over appliances or mechanical equipment for repairs
- Walking and/or standing for an entire workday
- Climbing flights of stairs to access work on the second floor
- Assembling small parts in appliances, mechanical equipment, and plumbing
- Reading repair instructions
- Logging or describing in writing work hours, repairs made and/or materials used
- Working in inclement weather
- Operating hand and power tools
- TOOLS:
- Supply your own tools for all common maintenance repairs. The Apartment Community will furnish specialty tools only for unusual repairs
TURNOVER:
- Perform as much work as possible in house with your Maintenance personnel. Overtime may be necessary during the busy turnover season
- Change all vacant unit door locks
SUB-CONTRACTOR:
- Schedule/Work with Sub-Contractors as directed. Ensure that the
Resident’s safety is always a prime consideration.
- Complete work associated with the Sub-Contractor’s work as directed. Discuss limits of the Sub-Contractor’s work with the Manager so as not to do their work.
Job Type: Full-time
Pay: $34.00 - $35.00 per hour
